The role of an Administrative Assistant is a dynamic position that requires a blend of excellent communication skills, meticulous organizational abilities, and a deep understanding of administrative operations within a multilingual environment. The successful candidate will be responsible for providing comprehensive support to ensure the efficient and smooth day-to-day operation of our office. This includes managing schedules, coordinating meetings, handling correspondence, and maintaining records. Given the bilingual nature of the role, the successful candidate will be expected to communicate fluently with Russian-speaking clients and stakeholders, translating documents as necessary and ensuring cultural nuances are respected in communication. A focus on discretion and professionalism is paramount as the Administrative Assistant often deals with confidential information. 


Responsibilities

  • Coordinate and manage daily schedules and appointments with meticulous attention to detail.
  • Facilitate communication between English and Russian-speaking employees and clients effectively.
  • Prepare, translate, and edit correspondence, communications, and other documents as needed.
  • Organize and maintain comprehensive physical and digital filing systems efficiently.
  • Plan and execute meetings, including scheduling, agenda preparation, and logistical coordination.
  • Assist with office administration tasks such as ordering supplies and maintaining equipment.
  • Handle sensitive information and maintain confidentiality in all administrative tasks.
  • Provide administrative support during office events to ensure smooth operations.
  • Serve as the first point of contact for Russian-speaking clients, addressing their inquiries professionally.
  • Conduct research and compile data to support reports and presentations as required.
  • Implement and monitor projects as directed by management, and see them through to completion.
  • Assist in the onboarding process for new employees through support and guidance.


Requirements

  • Proficiency in English, with excellent verbal and written skills in both languages.
  • High school diploma or equivalent required; an associate degree in business is preferred.
  • Proven experience in an administrative role, preferably in a bilingual environment.
  • Strong organizational skills with the ability to multitask and prioritize workloads effectively.
  • Attention to detail and problem-solving skills, ensuring high accuracy in tasks performed.
  • Proficiency in MS Office (MS Word, Excel, PowerPoint, Outlook) is essential.
  • Excellent interpersonal skills with the ability to communicate with diverse teams.
