Job Description

As a Personal Assistant, you will be at the heart of a dynamic and fast-paced environment, providing essential support to senior executives or individuals, ensuring that their personal and professional lives run smoothly. Your role will require a high degree of autonomy, discretion, and the ability to multitask efficiently. You will manage calendars, organize meetings, handle correspondence, and perform a host of other administrative tasks all while maintaining a professional and proactive approach. As the key point of contact, you will also liaise with clients and stakeholders, always ensuring a positive and professional representation. Your commitment to confidentiality, efficient problem-solving skills, and ability to anticipate needs will ensure the smooth management of various tasks and responsibilities.


Responsibilities

  • Manage and organize daily schedules, appointments, and meetings, ensuring efficient time use.
  • Handle and prioritize all forms of communication like emails, calls, and messages effectively.
  • Organize and oversee logistics for meetings and events, ensuring all technological support is in place.
  • Coordinate travel arrangements, including booking flights, accommodations, and cars.
  • Prepare, edit and distribute documents, reports, and presentations with attention to detail.
  • Conduct research and compile data to assist with decision making and project planning.
  • Manage personal and professional correspondence, ensuring confidentiality and professionalism.
  • Support financial activities including expense reports, budget tracking and financial documentation.
  • Maintain office organization, ensuring supplies are stocked and equipment is operational.
  • Assist with personal errands and requests promptly, while maintaining professionalism.
  • Develop and maintain an efficient filing system for easy document retrieval and management.
  • Liaise with internal and external contacts to ensure smooth communication and collaboration.

Requirements

  • Proven experience as a Personal Assistant or similar administrative role.
  • Exceptional organizational and time management skills are absolutely essential.
  • Excellent verbal and written communication skills for internal and external interaction.
  • Proficiency in MS Office Suite and familiarity with other digital communication tools.
  • Ability to multitask, prioritize workloads, and meet deadlines under pressure.
  • A high level of discretion and the ability to handle sensitive information confidentially.
  • Strong problem-solving abilities and proactive in anticipating needs and challenges.
