We are seeking a highly organized and proactive Personal Assistant to join our team and provide top-tier administrative support to our executive staff. As a Personal Assistant, you will play a crucial role in ensuring the smooth operation of daily activities by managing schedules, coordinating meetings, and handling communication. The ideal candidate is detail-oriented, resourceful, and possesses excellent communication skills. This position requires a high degree of professionalism and confidentiality, as you will be interacting with high-profile individuals and managing sensitive information. Responsibilities

  • Manage daily schedules, appointments, and calendars for executive staff members efficiently.
  • Coordinate and arrange meetings, including booking venues and organizing logistics.
  • Handle all incoming and outgoing communications, email correspondence, and phone calls.
  • Prepare and edit documents, reports, and presentations accurately and timely.
  • Handle confidential information with discretion and professionalism at all times.
  • Conduct research and compile data to support decision-making processes for executives.
  • Coordinate travel arrangements, including flight, hotel bookings, and itineraries.
  • Assist in special projects and tasks as assigned by the executive team.
  • Ensure office supplies are maintained and ordered as necessary to support operations.
  • Track and submit expense reports, invoices, and reconcile expense accounts promptly.
  • Liaise with internal staff and external stakeholders to facilitate communication and collaboration.
  • Provide top-notch customer service when interacting with clients and business partners.

Requirements

  • Proven experience as a Personal Assistant, Executive Assistant, or similar role.
  • Exceptional organizational skills and the ability to multitask efficiently under pressure.
  • Excellent verbal and written communication skills for effective interaction.
  • Proficiency in Microsoft Office Suite and other relevant office software tools.
  • Ability to maintain discretion and confidentiality with sensitive information.
  • Strong problem-solving abilities and a proactive approach to finding solutions.
  • Availability to occasionally work outside of standard business hours if needed.
