Job Purpose

Provide high-level administrative and legal support to ensure the efficient operation of the legal department. This role encompasses expanded responsibilities, including legal research, contract management, compliance support, project coordination, and relationship building.

Job Responsibilities

Legal Support & Coordination

  • Conduct legal research and provide summaries and recommendations.
  • Perform initial contract reviews, draft basic agreements, and support document preparation under legal counsel guidance.
  • Coordinate notarizations, attestations, and interactions with Notary Public and government agencies.

Contract & Document Management

  • Maintain a centralized and secure legal contract and document database (physical and digital).
  • Track contract expirations, renewals, and amendments, ensuring version control.
  • Manage the Legal Document Management System (DMS) and ensure only authorized access and distribution.

External & Internal Stakeholder Liaison

  • Act as the primary point of contact for external legal counsel, government bodies, and internal departments (e.g., Finance, Compliance, Tax).
  • Oversee communication, status updates, and coordination of legal tasks and projects across the legal team.
  • Compliance, Licensing & Recordkeeping
  • Ensure timely renewals and submissions (e.g., trade licenses, shareholder resolutions, KYC, IP filings).
  • Support compliance with data protection and internal governance policies.
  • Maintain structured and up-to-date entity and corporate records.

Administrative & Budget Oversight

  • Organize legal meetings, agendas, and events; delegate routine admin tasks.
  • Review legal invoices, manage legal department budget tracking, and monitor expenditures.
Job Requirements

Qualifications

  • Bachelor's degree in Law, Business Administration, or a related field.
  • Previous experience as an executive assistant, legal assistant, or in a similar role supporting legal professionals.
  • Familiarity with legal research techniques and resources.
  • Strong understanding of contract management processes and legal compliance principles.
  • Excellent organizational and project management skills.

Experience

  • 2-5 years of experience as secretary/administrator
  • Experience conducting legal research and preparing legal documents.
  • Proven track record of managing contracts and compliance-related tasks.
  • Experience coordinating projects and working with cross-functional teams.

Knowledge & Skills

  • Basic knowledge of legal documents;
  • Good communication skills;
  • Proficiency in MS office;
  • Fluent in Arabic and English (written and verbal);
  • Good translation skills;
  • Good time management skills.
