Job Description

As an Office Administrative Assistant, you will play a crucial role in ensuring the efficient day-to-day operations of the office. Your responsibilities will include managing and organizing files, handling correspondence, scheduling appointments, and providing support to the team as needed. You will be the first point of contact for visitors and clients, greeting them in a professional and friendly manner. Additionally, you will assist with basic bookkeeping tasks, such as preparing invoices and processing payments. Strong communication and time management skills are essential for this role, as well as proficiency in Microsoft Office applications. The ideal candidate will be detail-oriented, reliable, and able to work well in a fast-paced environment.


Responsibilities

  • Perform general office tasks such as answering phones, responding to emails, and handling mail.
  • Maintain office supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies, and verifying receipt of supplies.
  • Assist in scheduling appointments and meetings for staff and management.
  • Coordinate travel arrangements and accommodations for employees when necessary.
  • Prepare and modify documents including correspondence, reports, drafts, memos, and emails.
  • Assist in organizing and maintaining files and records, both electronic and physical.
  • Assist with onboarding new employees by coordinating orientation schedules and paperwork.
  • Assist in the preparation of reports and presentations as needed.
  • Receive visitors and ensure they are greeted in a professional manner.
  • Assist in coordinating office events and activities.


Requirements

  • High school diploma or equivalent
  • Proficiency in Microsoft Office suite (Word, Excel, Outlook)
  • Excellent communication and organizational skills
  • Ability to multitask and prioritize tasks effectively
  • Previous experience in office administration or related field a plus
