Job Description

The Executive Assistant to the CEO plays a critical role in successfully managing the Office of the CEO. This position is responsible for providing comprehensive support to the CEO, including executive scheduling, correspondence, and fulfilling any other administrative tasks as needed. The role involves working closely with the CEO to ensure all executive tasks are completed efficiently and effectively, often acting as a gatekeeper and point of contact for external communications. This dynamic position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality. The ideal candidate will be adaptable, have strong time-management skills, and the ability to multitask and prioritize in a busy corporate environment.


Responsibilities

  • Manage the CEO's calendar and arrange meetings, conferences, and travel schedules.
  • Coordinate communication between the CEO and internal/external stakeholders efficiently.
  • Handle confidential information with utmost discretion and professionalism.
  • Prepare and edit correspondence, reports, presentations, and other necessary documents.
  • Organize and maintain files, records, and reports for the CEO's office.
  • Assist the CEO in the research and preparation of materials for meetings and presentations.
  • Act as a liaison for the CEO with board members, clients, and other executive staff.
  • Oversee special projects and assignments as directed by the CEO.
  • Ensure timely and effective communications and follow-ups regarding CEO's agenda.
  • Provide administrative support in managing appointment logistics and meeting preparations.
  • Create meeting agendas and take detailed minutes during executive meetings.
  • Coordinate events and engagements involving the CEO, both in-house and external.

Requirements

  • Bachelor’s degree in Business Administration or a related field is preferred.
  • Minimum of 5 years’ experience supporting executive-level staff in an administrative capacity.
  • Ability to handle sensitive information with integrity and confidentiality.
  • Excellent verbal and written communication skills are essential.
  • Highly proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong organizational skills with the ability to multitask and prioritize work effectively.
  • Detail-oriented, resourceful, and capable of working independently in a fast-paced environment.
