Job Description

The position of a Billing Administrator plays a crucial role in the financial operations of an organization by ensuring accurate invoicing, tracking financial records, and ensuring timely collection of payments. A Billing Administrator is responsible for managing the billing process from the initial client setup to final payment receipt. This role requires someone who is detail-oriented, organized, and capable of handling sensitive information with the utmost confidentiality. Among the essential skills are proficiency with billing software, exceptional communication skills for dealing with clients and internal teams, and analytical abilities to resolve discrepancies efficiently. Responsibilities

  • Manage and oversee the daily operations of the billing department.
  • Prepare and issue invoices with accuracy and in a timely manner.
  • Coordinate with clients to resolve billing inquiries and disputes.
  • Process and reconcile client accounts to ensure accurate record-keeping.
  • Collaborate with other departments to streamline billing processes and improve efficiency.
  • Prepare and maintain financial reports related to billing activities.
  • Ensure compliance with relevant laws and internal guidelines in all billing procedures.
  • Establish and maintain relationships with clients to ensure effective communication.
  • Conduct regular audits to identify billing errors and implement corrective measures.
  • Monitor accounts receivable to ensure timely collection of outstanding invoices.
  • Maintain confidentiality of sensitive financial information at all times.
  • Train and supervise billing staff to ensure they understand policies and procedures.

Requirements

  • Bachelor’s degree in Accounting, Finance, or a related field preferred.
  • Minimum of two years of experience in a billing or finance role.
  • Proficiency in billing and accounting software, such as QuickBooks or SAP.
  • Strong numerical and analytical skills for financial data interpretation.
  • Excellent attention to detail to ensure accuracy in billing processes.
  • Effective communication skills for interactions with clients and team members.
  • Ability to work independently and manage multiple tasks efficiently under deadlines.
  • Knowledge of financial regulations and compliance standards in billing processes.
  • Problem-solving skills to address and resolve billing discrepancies effectively.
  • High level of discretion and confidentiality in handling sensitive information.
