Job Description

We are seeking a highly organized, dependable, and resourceful Administrative Manager to oversee the day-to-day administrative operations of the organization while also providing professional support to the Managing Director (MD) and senior leadership. The ideal candidate will be an MBA graduate from a reputed Tier-1 or Tier-2 university, with proven experience in office administration, executive coordination, and staff supervision within the construction or infrastructure industry.

This role requires strong leadership, discretion, and excellent organizational skills to ensure smooth functioning across all corporate and site-based administrative functions.

Key Responsibilities

Executive & Leadership Support

· Manage the MD’s official calendar, appointments, meetings, and travel schedules.

· Coordinate with internal teams and external stakeholders on behalf of senior management.

· Handle sensitive and confidential documents with professionalism.

· Assist with planning, organizing, and executing business reviews, meetings, and corporate events.

Office & Facility Administration

· Oversee day-to-day office operations, maintenance, and workplace safety.

· Manage vendor relationships (facility, housekeeping, pantry, security, etc.).

· Monitor procurement, vendor contracts, and inventory management of office and site supplies.

· Ensure smooth communication between corporate office and construction project sites.

Staff Supervision

· Lead and supervise support staff, including drivers, housekeeping, field executives, and site office administrators.

· Maintain attendance, duty rosters, and performance tracking systems.

· Train, mentor, and guide junior staff to uphold high service and operational standards.

Backend Operations & Documentation

· Maintain organized filing systems, records, and documentation (physical & digital).

· Draft, review, and manage professional correspondence, reports, and presentations.

· Support scheduling, logistics, and day-to-day coordination between corporate and project departments.

Compliance, Policy & Process Improvement

· Implement SOPs for streamlined administrative operations across projects.

· Ensure compliance with company policies, statutory regulations, and labor laws.

· Assist during internal and external audits with accurate documentation.

· Recommend and implement cost-saving measures and efficiency improvements.

Qualifications & Experience

· Education: MBA from a recognized Tier-1 or Tier-2 university.

· Experience: 3–5 years of proven administrative management, preferably in construction, infrastructure, or real estate sector.

Skills & Attributes

· Strong leadership and people management skills.

· Excellent organizational, communication, and multitasking abilities.

· High level of integrity, discretion, and professionalism.

· Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).

· Fluent in English (written & spoken); Hindi proficiency is an added advantage.

· Flexibility to travel and work extended hours when required.
