Job Description

Job Purpose
We are seeking a dedicated and detail-oriented Service Coordinator to manage end-to-end inventory operations, vehicle service coordination, warranty claims, petty cash, and payment coordination with the Finance Shared Services (FSS) department.
Key Responsibilities Inventory & Workshop Coordination Maintain a well-organized and secure store, managing vehicle accessories such as seats, used batteries, old tires, diagnostic tools (DTC scanners), and workshop tools.
Prepare price comparisons and secure approvals before issuing Purchase Orders (POs).
Inspect incoming parts, allocate them to storage locations, and update inventory in the Gateway system.
Conduct monthly inventory audits of all spare parts and consumables.
Enforce safety standards and accountability in all storekeeping activities.
Issue parts as per Job Orders and ensure timely procurement of non-stock or slow-moving items from approved vendors.
Open and close internal Job Orders for scheduled and emergency maintenance tasks.
Create work orders for specialized repairs (e.g., AC servicing, disc skimming, welding, and wheel bearing pressing).
Verify parts history, including warranty coverage and last replaced mileage for items like batteries and tires.
For tire replacements, obtain prior approval and proceed with the most cost-effective vendor or as per brand requirements.
Manage job card creation and coordinate vehicle maintenance in the absence of the Service Advisor.
Reporting & Documentation Maintain detailed service history records to facilitate warranty claims.
Prepare vehicle damage estimates when required.
Ensure accurate and up-to-date documentation for all workshop and maintenance activities.
Finance Coordination Manage petty cash, submit invoices, and process reimbursements.
Submit vendor invoices weekly in line with FSS procedures.
Follow up on vendor Statements of Accounts (SOA) and coordinate timely payment processing with FSS.
Other Duties Undertake additional responsibilities as assigned by the Operations Manager or General Manager.
Qualifications and Skills:
Proven experience in inventory management and vehicle service coordination.
Proficiency in inventory management systems (e.g., Gateway).
Strong organizational and multitasking abilities.
Excellent communication and reporting skills.
Attention to detail and a commitment to maintaining high safety standards.
