Job Description

The role of a Receptionist is pivotal in establishing the first impression of an organization. A receptionist is the face of a company, setting the tone for how an establishment is viewed. As the initial point of contact, a receptionist must demonstrate professionalism, warmth, and efficiency in handling various incoming and outgoing communications, ranging from scheduling client meetings to managing office supplies. In this role, you will be expected to maintain an organized front office environment, assist in a variety of clerical activities, and provide outstanding customer service. The ideal candidate will possess excellent communication skills, a helpful nature, and the ability to manage multiple tasks seamlessly. Responsibilities

  • Greet and welcome guests promptly upon their arrival to the office.
  • Direct visitors to the appropriate person or department efficiently.
  • Ensure security procedures are followed for visitor management systems.
  • Answer, screen, and forward incoming phone calls professionally.
  • Maintain office security by controlling access through the reception desk.
  • Receive, sort, and distribute daily mail, deliveries, and couriers.
  • Maintain a clean and tidy reception area at all times.
  • Assist with various administrative tasks including copying, faxing, and filing.
  • Schedule and confirm appointments for clients and senior management accordingly.
  • Keep updated records of office expenses and costs in an organized manner.
  • Coordinate with the office staff to ensure timely execution of tasks.
  • Provide accurate information in-person and via phone or email to client inquiries.

Requirements

  • High school diploma or equivalent; additional qualifications preferred.
  • Proven work experience as a Receptionist or similar role essential.
  • Proficient in Microsoft Office Suite and familiar with databases.
  • Hands-on experience with office equipment like printers and fax machines.
  • Professional attitude and appearance with excellent customer service skills.
  • Strong written and verbal communication abilities are required.
  • Ability to be resourceful and proactive when issues arise.
