Job Description

The role of a Receptionist is a pivotal one in any organization, tasked with creating a positive first impression for visitors and clients. As a Receptionist, you are the face and voice of the company, responsible for ensuring a welcoming environment and providing support across various administrative tasks. This role requires exceptional communication skills, a professional demeanor, and the ability to multitask effectively. A Receptionist plays a key part in maintaining the office’s smooth and effective operation, acting as a liaison between the company and external parties and ensuring that all visitors and callers receive a top-notch experience.


Responsibilities

  • Greet visitors warmly and direct them to the appropriate department or individual.
  • Answer, screen, and forward incoming phone calls using a multi-line telephone system.
  • Manage and maintain the reception area to ensure a professional appearance.
  • Coordinate with internal staff to relay messages and manage inquiries promptly.
  • Handle incoming and outgoing mail, distributing as necessary to the relevant personnel.
  • Maintain office security by following safety procedures and controlling access via the reception desk.
  • Schedule appointments and maintain conference room bookings efficiently.
  • Assist with basic administrative tasks such as file management and data entry.
  • Keep accurate records of visitor information and manage the visitor logbook.
  • Provide basic and accurate information in-person and via phone/email.
  • Support the preparation of meeting rooms and logistical arrangements for executive presentations.
  • Coordinate with facility management to address any maintenance or operational issues.

Requirements

  • High school diploma or equivalent; additional certification is a plus.
  • Proven work experience as a Receptionist, Front Office Representative, or similar role.
  • Proficiency in Microsoft Office Suite and other relevant computer programs.
  • Solid written and verbal communication skills to interact effectively.
  • Strong organizational skills with the ability to prioritize tasks effectively.
  • Customer service attitude with an ability to handle clients’ queries empathetically.
  • Professional attitude and appearance with a courteous and outgoing nature.
