Job Description

As an Assistant Facilities Manager, you will play a crucial role in overseeing the daily operations of our facility to ensure they run smoothly and efficiently. Your expertise will help in maintaining and managing the structural integrity and physical appearance of the building, while ensuring compliance with industry regulations. You will report directly to the Facilities Manager and collaborate closely with various departments to support and harmonize facility operations. Your ability to troubleshoot and address issues promptly and effectively will be critical in enhancing the comfort, safety, and productivity of our workspace. Your organizational skills and proactive approach will contribute significantly to the seamless functioning of our facilities management services.


Responsibilities

  • Assist the Facilities Manager in overseeing the maintenance and operations of the facility.
  • Coordinate repairs and improvements to uphold a safe and functional work environment.
  • Monitor facility operations to ensure compliance with safety and regulatory standards.
  • Manage the workflow and performance of external contractors and service providers.
  • Maintain accurate records of all facility operations and maintenance activities.
  • Conduct regular inspections of the premises to ensure optimal conditions.
  • Develop and implement preventive maintenance procedures to minimize downtime.
  • Assist in budget preparation and control expenditures to align with financial plans.
  • Facilitate effective communication between departments regarding facilities-related issues.
  • Support emergency preparedness and crisis management efforts within the facility.
  • Implement sustainability initiatives to contribute to eco-friendly operations.
  • Provide training and guidance to staff on facility policies and emergency procedures.

Requirements

  • Proven experience in facilities management or a related field for at least two years.
  • Strong organizational skills with the ability to manage multiple tasks concurrently.
  • Excellent problem-solving skills and the ability to work under pressure.
  • Proficiency in using facilities management software and tools for efficient operations.
  • Effective communication skills to liaise with staff, contractors, and suppliers.
  • Knowledge of health, safety, and environmental regulations affecting facility management.
  • Ability to work collaboratively as part of a team while demonstrating leadership qualities.
