Job Description

The Administration Executive - Leasing plays a pivotal role in supporting the leasing department of a company by ensuring smooth and efficient operations. This role requires a highly organized individual with a knack for managing administrative tasks, handling leasing documentation, and providing exceptional customer service to clients and tenants. The Administration Executive will be responsible for coordinating communication between various stakeholders, maintaining detailed records, and assisting in the management of lease agreements. A keen eye for detail, the ability to multitask, and strong interpersonal skills are essential to succeed in this dynamic and fast-paced environment. The candidate should demonstrate a proactive approach to problem-solving and a willingness to work collaboratively with leasing agents and other departments to enhance the overall leasing experience.


Responsibilities

  • Manage and organize all administrative tasks related to the leasing department.
  • Coordinate and schedule meetings between clients and leasing agents appropriately.
  • Maintain accurate and up-to-date records of lease agreements and documentation.
  • Handle inquiries from potential tenants and provide relevant leasing information.
  • Assist in the preparation and distribution of leasing contracts and agreements.
  • Collaborate with the accounting department to ensure timely rent collection.
  • Develop and implement efficient filing and documentation systems for leasing records.
  • Prepare detailed reports on leasing activities and department performance regularly.
  • Support leasing agents by providing necessary administrative and customer service support.
  • Respond promptly and effectively to tenant complaints and resolve issues amicably.
  • Facilitate and coordinate the move-in and move-out processes of tenants.
  • Stay updated with the latest leasing regulations and ensure compliance at all times.

Requirements

  • Bachelor's degree in Business Administration or a related field is preferred.
  • Minimum of 2 years experience in an administrative role, preferably in leasing.
  • Strong organizational and multitasking abilities to manage various administrative tasks.
  • Excellent communication and interpersonal skills to interact with diverse clients.
  • Proficiency in Microsoft Office Suite and experience with leasing software preferred.
  • Detail-oriented with excellent problem-solving skills and the ability to work independently.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
