Job Description

As the first point of contact for many of our clients and visitors, the Receptionist plays a pivotal role in ensuring a positive experience for everyone who enters our doors. This role requires a keen sense of organization, excellent communication skills, and a friendly demeanor to manage our front desk efficiently. The ideal candidate will have a genuine passion for providing outstanding customer service and the ability to work in a fast-paced environment. You will be responsible for greeting visitors, answering phone calls, managing schedules, and handling basic administrative tasks. Your ability to handle multiple tasks calmly and professionally, even under pressure, will contribute significantly to the success and smooth operation of our office.


Responsibilities

  • Greet all visitors with a welcoming and helpful attitude upon arrival.
  • Answer, screen, and forward incoming phone calls promptly and politely.
  • Manage and maintain the cleanliness and organization of the front desk area.
  • Assist with scheduling appointments and managing executives’ calendars efficiently.
  • Receive and sort daily mail and deliveries, ensuring timely distribution.
  • Maintain office security by following safety procedures and regulating access.
  • Handle inquiries and provide accurate information to clients and visitors.
  • Coordinate with office staff and management to ensure smooth daily operations.
  • Assist with clerical tasks, including filing, photocopying, and preparing documents.
  • Keep an updated inventory of office supplies and place orders when necessary.
  • Support and participate in team meetings, activities, and company events.
  • Utilize office equipment like printers and copiers in an efficient manner.

Requirements

  • Proven work experience as a Receptionist, Front Office Representative, or similar role.
  • Professional attitude and appearance with strong customer service orientation.
  • Proficient computer skills and familiarity with Microsoft Office Suite are required.
  • Excellent verbal and written communication skills to interact effectively.
  • Strong organizational skills, with the ability to manage multiple tasks simultaneously.
  • High school diploma or equivalent; additional certification in Office Management is a plus.
  • Ability to be resourceful and proactive in dealing with issues that may arise.
