Job Description

We are seeking a detail-oriented and organized Office Administrator to join our dynamic team. In this role, you will be responsible for ensuring the smooth operation of our office environment and supporting various administrative needs. You will be the first point of contact for visitors and play a key role in managing office activities. The ideal candidate will have excellent communication skills, a proactive approach, and the ability to multitask efficiently. This position requires a professional manner and a good understanding of administrative procedures, as it contributes significantly to the overall productivity and morale of our team.


Responsibilities

  • Greet and assist visitors, providing them with necessary information and guidance.
  • Manage and organize day-to-day office operations and administrative functions.
  • Coordinate and schedule meetings, appointments, and travel arrangements as required.
  • Handle incoming and outgoing correspondence, including emails and physical mail.
  • Maintain office supplies by keeping track of inventory and ordering replacements.
  • Ensure office equipment is maintained and in working order, coordinating repairs as needed.
  • Assist in preparing reports, presentations, and correspondence for management and teams.
  • Develop and maintain a filing system for important documents and records.
  • Support HR efforts by maintaining employee records and coordinating onboarding activities.
  • Manage office budgets, track expenses, and assist in financial reporting processes.
  • Oversee office cleanliness and organization, ensuring a professional work environment.
  • Coordinate with vendors and service providers for office-related requirements and services.

Requirements

  • Proven experience as an office administrator, office assistant, or relevant role.
  • Strong organizational skills with the ability to prioritize effectively.
  • Excellent written and verbal communication abilities are crucial.
  • Proficiency in MS Office (MS Excel and MS Outlook, in particular).
  • Familiarity with office management procedures and basic accounting principles.
  • High school diploma, additional qualifications as an Administrative assistant or Secretary are a plus.
  • Ability to handle confidential information discreetly and professionally.
