Job Description

The Front Office Assistant serves as the face of the organization, providing exceptional customer service and creating a warm and welcoming atmosphere for clients and visitors. This role is central to the smooth operation of the office, handling various administrative tasks, managing phone calls, scheduling appointments, and coordinating communication between departments. The Front Office Assistant must be highly organized, possess strong communication skills, and be adept at multitasking in a dynamic environment. A positive demeanor and the ability to handle sensitive information with discretion are crucial. Responsibilities

  • Greet and welcome visitors, ensuring a positive first impression.
  • Manage the reception area, maintaining a tidy and organized space.
  • Answer and direct phone calls to the appropriate departments or staff members.
  • Schedule and coordinate appointments and meetings with clients and staff.
  • Handle incoming and outgoing mail and package deliveries efficiently.
  • Assist in the preparation and distribution of internal and external communications.
  • Maintain office supplies inventory and place orders when necessary.
  • Support other departments with clerical tasks and special projects as needed.
  • Ensure compliance with company policies and standard operating procedures.
  • Collect, sort, and distribute correspondence, including electronic communications.
  • Operate office equipment, including printers, copiers, and fax machines.
  • Address and resolve basic customer inquiries and concerns promptly.

Requirements

  • High school diploma or equivalent; additional qualification is a plus.
  • Proven experience in a front office or administrative role preferred.
  • Excellent verbal and written communication skills are essential.
  • Strong organizational abilities and attention to detail are required.
  • Proficiency in using office software such as MS Office Suite.
  • Ability to multitask and prioritize tasks in a fast-paced environment.
  • Professional appearance and a friendly, positive attitude.
