The Front Office Assistant plays a crucial role in ensuring the smooth and efficient operation of a company's front desk. This role is the face of the company, often being the first point of contact for both clients and employees. The individual in this position must possess excellent communication and organizational skills, as they handle a variety of administrative tasks, schedule appointments, and manage the general needs of the office. Responsibilities

  • Greet and assist all visitors with a friendly and professional attitude.
  • Manage incoming phone calls, directing them to appropriate departments or personnel.
  • Perform check-in and check-out procedures for clients and visitors efficiently.
  • Maintain a clean and organized front desk area and lobby.
  • Schedule and coordinate appointments and meetings for office staff.
  • Handle all incoming and outgoing mail and packages systematically.
  • Assist in the preparation of office reports, documents, and presentations.
  • Provide administrative support to other departments as required.
  • Keep accurate records of visitor logs and office communications.
  • Monitor and reorder office supplies to ensure availability at all times.
  • Resolve client and visitor questions and complaints promptly and courteously.
  • Support the implementation and adherence to company policies and procedures.

Requirements

  • High school diploma or equivalent education qualification is required.
  • Prior experience in a front office or administrative role preferred.
  • Proficient in Microsoft Office Suite and basic office management software.
  • Strong verbal and written communication skills are essential.
  • Exceptional customer service skills with a professional demeanor.
  • Ability to multitask and manage time effectively in a busy environment.
  • Attention to detail with excellent organizational and problem-solving abilities.
