Job Description

An HR Assistant plays a crucial role in the smooth functioning of the human resources department within an organization. They are responsible for a variety of tasks that are integral to employee management, including recruitment, staffing logistics, and the maintenance of employee records. This position acts as a support to the HR manager and other department team members, ensuring the effective and efficient running of daily HR-related operations. The HR Assistant is expected to have excellent organizational skills, strong communication abilities, and a thorough understanding of HR policies and practices. Being the first point of contact for employee queries, an HR Assistant also must exhibit professionalism and confidentiality when handling sensitive company information.


Responsibilities

  • Assist with the recruitment process by identifying candidates, performing reference checks, and issuing employment contracts.
  • Coordinate interviews and communicate with candidates, ensuring a smooth interview process.
  • Provide assistance in the onboarding process for new hires and conduct orientation sessions.
  • Maintain and update employee records and ensure all information is accurate and up-to-date.
  • Support day-to-day HR operations and respond to general queries from employees and management.
  • Assist with payroll processing by collecting timesheet data and other payroll-related information.
  • Prepare HR documentation, including offer letters, contracts, and organizational charts.
  • Schedule meetings, HR events, and maintain agendas for the HR department.
  • Ensure compliance with labor regulations by supporting the implementation of lawfully mandated HR processes.
  • Assist in the development and implementation of human resource policies.
  • Manage and update the HR database and ensure the security of HR data.
  • Coordinate employer branding activities to enhance company reputation as a great place to work.

Requirements

  • Bachelor's degree in Human Resources, Business Administration, or a related field preferred.
  • Proven experience working as an HR Assistant or in a relevant position.
  • Strong understanding of current labor laws and HR practices.
  • Excellent interpersonal and organizational skills with attention to detail.
  • Proficiency in MS Office Suite and HRIS software and systems.
  • Ability to handle sensitive and confidential information with discretion.
  • Excellent verbal and written communication skills in English.
