We are seeking a personable and highly organized Front Desk Receptionist to join our dynamic team. As the first point of contact for our company, you will represent our organization with professionalism and a welcoming demeanor. This role involves managing a multitude of administrative tasks that are key to maintaining the smooth operation of our front office. You will also be responsible for ensuring that our clients and visitors experience exceptional service from the moment they step into our premises. The ideal candidate will be efficient, confident, and possess excellent communication skills. A proactive approach to addressing and resolving issues is crucial. Responsibilities

  • Greet and welcome guests as they enter the building in a friendly manner.
  • Answer, screen, and forward incoming phone calls promptly and professionally.
  • Manage appointment scheduling and ensure accurate recording of appointments.
  • Provide basic and accurate information to clients and visitors upon request.
  • Maintain reception area cleanliness and organization to promote a tidy environment.
  • Sort and distribute incoming mail and deliveries and manage outgoing mail.
  • Assist various departments with clerical and administrative tasks as needed.
  • Monitor visitor access and maintain security awareness for facility safety.
  • Ensure office supplies are stocked and order new supplies when necessary.
  • Coordinate with housekeeping to ensure common areas are well-maintained.
  • Support company events and meetings by managing logistical arrangements.
  • Provide support to management with document handling and data entry tasks.

Requirements

  • Proven experience as a front desk receptionist or in a similar role.
  • Strong proficiency in Microsoft Office Suite and office management software.
  • Excellent verbal and written communication skills are essential.
  • Demonstrated ability to provide top-notch customer service consistently.
  • Outstanding organizational skills with the ability to handle multitasking.
  • Ability to maintain a positive attitude and composure under pressure.
  • High school diploma or equivalent qualification required, associate degree preferred.
