Job Purpose/ Summary

The purpose of a personal assistant to the CXO is to enhance the executives productivity by managing schedules, facilitating communication, and organizing critical tasks. They serve as a trusted liaison between the CXO and various stakeholders, ensuring efficient operations within the executive office. Additionally, they handle administrative duties, enabling the CXO to focus on strategic decision-making and leadership.

Job Description
As a Personal Assistant, you will be responsible for providing administrative support to ensure efficient operation of the office. You will support managers and employees through a variety of tasks related to organization and communication. The goal is to ensure that all interactions between the administration and others are positive and productive.

Principal Accountabilities
Manage and maintain executives schedules, appointments, and travel arrangements.

Arrange and coordinate meetings and events.

Record, transcribe, and distribute minutes of meetings.

Monitor, respond to, and distribute incoming communications.

Interact with external clients and partners.

Review operating practices and implement improvements where necessary.

Coordinate project-based work.

Review and analyze incoming reports, memos, submissions, and distribute them as needed.

Prepare and edit correspondence, communications, presentations, and other documents.

File and retrieve documents and reference materials.

Conduct research, collect and analyze data to prepare reports and documents.

Liaise with internal staff at all levels.

Provide general administrative support.

The Personal Assistant will be expected to exhibit high levels of professionalism and efficiency, ensuring that the executives office operations run smoothly. The ideal candidate will be experienced in handling a wide range of administrative and executive support-related tasks, able to work independently with little or no supervision, and able to manage multiple tasks at once.
