Job Description

A Document Controller is pivotal in managing and maintaining an organization's documentation processes, ensuring that all documents are correctly stored, easily retrievable, and safeguarded against unauthorized access. As a Document Controller, you will be responsible for organizing, updating, and managing both physical and electronic documents, guaranteeing accuracy and compliance with regulations, and providing support to other team members in document management. This role requires exceptional organizational skills, attention to detail, and the ability to handle sensitive information discreetly and effectively. A successful Document Controller will have a keen eye for consistency and quality, ensuring that all documentation processes run smoothly and efficiently to support the organization’s objectives.


Responsibilities

  • Organize and maintain company documents in an accurate and timely manner.
  • Develop and oversee document retrieval methods to enhance efficiency.
  • Ensure compliance with all regulatory requirements and internal documentation policies.
  • Collaborate with team members to create, manage, and store documents effectively.
  • Train staff in document management protocols and control processes.
  • Conduct regular audits to ensure all documentation is current and appropriately archived.
  • Assist in the development of document management systems and processes.
  • Maintain confidentiality of all sensitive documentation and information.
  • Track and manage document flow within the organization systematically.
  • Provide reports and updates on document management activities to management.
  • Ensure that document control processes support overall project management tasks.
  • Act as a liaison between departments to facilitate document sharing and processing.

Requirements

  • Bachelor’s degree in administration, management, or related field preferred.
  • Proven experience as a Document Controller or similar role for two years.
  • Strong knowledge of document control software and modern management tools.
  • Excellent organizational skills with attention to detail and accuracy.
  • Exceptional communication skills, both written and verbal, are critical.
  • Ability to handle confidential and sensitive information with discretion.
  • Proficiency in Microsoft Office Suite and document management software.
  • Demonstrated ability to collaborate effectively in a team-oriented environment.
  • Familiarity with industry-specific compliance standards and regulations.
