Job Description

A Payroll Operations Associate plays a crucial role in ensuring that a company’s payroll processes are executed efficiently and accurately. This position involves managing payroll tasks, maintaining compliance with government regulations, and providing support to employees regarding payroll queries. The Payroll Operations Associate acts as a liaison between the payroll department and other departments, ensuring smooth and timely coordination of all payroll activities. This position requires keen attention to detail, strong organizational skills, and a thorough understanding of payroll systems and laws. An ideal candidate for this role will possess excellent communication skills and the ability to handle sensitive information confidentially. The role is vital in maintaining employee trust as it ensures that employees are compensated correctly and on time.


Responsibilities

  • Process payroll for all company employees accurately and in a timely manner.
  • Ensure compliance with all federal, state, and local payroll laws and regulations.
  • Reconcile payroll-related transactions and resolve discrepancies as they arise.
  • Maintain and update payroll information by collecting, calculating, and entering data.
  • Coordinate with HR and finance departments to ensure accurate employee data for payroll processing.
  • Provide customer service support to employees with payroll-related concerns and inquiries.
  • Prepare and distribute payroll reports for management and accounting purposes.
  • Manage employee benefits deductions and ensure their accurate reflection in payroll processing.
  • Assist in audits of payroll and benefits programs to ensure compliance and accuracy.
  • Develop and implement efficient payroll processes to enhance overall payroll operating procedures.
  • Keep abreast of changes in payroll legislation and integrate them appropriately.
  • Support the implementation of new payroll systems and software upgrades as required.

Requirements

  • Bachelor’s degree in Accounting, Finance, Business Administration, or related field preferred.
  • At least 2 years of experience in payroll processing or related field essential.
  • Strong understanding of payroll practices, including federal and state regulations.
  • Proficiency in payroll software and Microsoft Office Suite (Excel, Word, etc.).
  • Excellent organizational skills with high attention to detail and accuracy.
  • Strong communication skills, both written and verbal, are necessary for the role.
  • Ability to handle confidential information with utmost discretion and professionalism.
