Job Description

As a Front Office Receptionist, you will be the first point of contact for clients, visitors, and employees entering our establishment. Your primary role is to ensure a smooth and efficient operation at the front desk, creating a welcoming and inviting environment. You will need to have excellent communication and organizational skills, as well as a friendly and professional demeanor. Multitasking and stress management skills are essential for this position. You will handle phone calls, greet guests, distribute correspondence, and perform various administrative tasks. Representing the company with a positive image is crucial, as your role directly influences the first impression of our clients and visitors. This position is pivotal in maintaining smooth operations and offering stellar customer service.


Responsibilities

  • Greet clients, visitors, and employees in a warm and friendly manner.
  • Answer all incoming phone calls and direct them appropriately.
  • Manage and maintain visitor logs and ensure security protocols are followed.
  • Oversee the distribution of mail, packages, and other correspondence.
  • Maintain a tidy and organized front desk area to promote a professional image.
  • Prepare and handle room bookings for conference and meeting rooms.
  • Coordinate with internal staff and departments for efficient operations.
  • Provide assistance and direction to visitors and clients as needed.
  • Manage scheduling systems and update calendars with pertinent information.
  • Handle inquiries and provide general information regarding the company.
  • Ensure the reception area is equipped with necessary supplies and materials.
  • Perform additional administrative duties as assigned by the management.

Requirements

  • High school diploma or equivalent qualification is required.
  • Proven work experience as a receptionist or in a similar role.
  • Exceptional communication and organizational skills are a must.
  • Familiarity with Microsoft Office Suite and basic office equipment.
  • Outstanding customer service skills and a friendly demeanor.
  • Ability to multitask and manage stress in a fast-paced environment.
  • Strong attention to detail and problem-solving abilities.
