Job Description

We are currently seeking an organized and friendly Receptionist to be the first point of contact for our company. The ideal candidate will have excellent communication skills, a pleasant demeanor, and a professional attitude. As the face of our organization, you will handle the front desk reception and administrative duties, including greeting visitors, answering phone calls, handling inquiries, and sorting and distributing mail. Your role is critical to creating a welcoming environment and providing exceptional customer service. You will play a crucial role in coordinating office activities efficiently and ensuring smooth operations between departments. Responsibilities

  • Greet visitors warmly and direct them to the appropriate person or department.
  • Answer, screen, and forward incoming phone calls in a courteous manner.
  • Provide basic and accurate information in-person and via phone or email.
  • Receive, sort, and distribute daily mail and deliveries promptly.
  • Maintain office security by following safety procedures and controlling access via the reception desk.
  • Keep inventory of stock needed for reception area and coordinate reorders.
  • Update appointments and conduct follow-ups on scheduled meetings.
  • Perform clerical duties such as filing, photocopying, and transcribing as needed.
  • Assist with coordinating room bookings and preparations for meetings or events.
  • Support the administrative team with various office management duties when required.
  • Maintain a tidy and presentable reception area with all necessary stationery and material.
  • Assist with onboarding and training new employees in office processes as applicable.

Requirements

  • Proven work experience as a Receptionist, Front Office Representative, or similar role.
  • Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook.
  • Hands-on experience with office equipment like printers and fax machines.
  • Professional attitude with excellent verbal and written communication skills.
  • Strong organizational skills with the ability to multitask efficiently.
  • Customer service attitude with a friendly and welcoming demeanor.
  • High school diploma; additional certification in Office Management is a plus.
