Job Description

We are seeking a detail-oriented and highly organized Receptionist Cum Administrative Assistant to join our dynamic team. The ideal candidate will possess exceptional communication skills and have the ability to manage multiple tasks efficiently in a fast-paced environment. As the first point of contact for our company, the receptionist plays a vital role in creating a positive impression and ensuring smooth administration. You will be responsible for greeting clients and visitors, managing front office operations, and providing administrative support across the organization. Responsibilities

  • Greet clients and visitors with a positive, helpful attitude in person and on the phone.
  • Maintain office security by following safety procedures and controlling access via the reception desk.
  • Answer, screen, and forward incoming phone calls while providing accurate information when possible.
  • Assist with various administrative tasks including data entry, copying, faxing, taking notes, and scheduling meetings.
  • Receive, sort, and distribute daily mail/deliveries and couriers effectively and efficiently.
  • Manage calendars and schedule appointments for senior management and staff as required.
  • Keep updated records of office expenses and costs, and assist in managing the inventory of office supplies.
  • Ensure reception area is tidy and presentable, with all necessary stationery and materials readily available.
  • Provide excellent customer service to guests by addressing any inquiries or needs promptly.
  • Coordinate travel arrangements, prepare itineraries, and track expenses for business trips.
  • Assist in the preparation and editing of correspondence, reports, and presentations.
  • Facilitate communication between departments to ensure the smooth flow of information.

Requirements

  • High school diploma or equivalent required; associate or bachelor's degree preferred.
  • Proven work experience as a receptionist, front office representative, or similar role.
  • Proficient in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
  • Excellent communication skills, both written and verbal, in English.
  • Strong organizational skills with the ability to multitask effectively.
  • Ability to maintain high levels of professionalism and confidentiality at all times.
  • Demonstrated ability to provide exceptional customer service and deal with challenging situations.
