Job Description

The role of the Executive Assistant to the CEO is a crucial one, designed to provide high-level administrative support to the Chief Executive Officer. This position involves a wide range of responsibilities, from coordinating executive communications to managing complex schedules and organizing crucial meetings. As the right hand to the CEO, the Executive Assistant is expected to enhance the CEO’s productivity through proactive problem solving, leading to more efficient decision-making processes. This role requires a professional who is detail-oriented, reliable, and capable of handling sensitive information with discretion while managing multiple high-priority tasks in a fast-paced environment. The Executive Assistant acts as a liaison between the CEO and various internal and external stakeholders, ensuring smooth communication and a seamless flow of operations within the organization.


Responsibilities

  • Manage the CEO's calendar and schedule appointments with strict attention to detail.
  • Coordinate and prepare agendas for executive meetings, and circulate to involved parties.
  • Screen incoming calls and correspondence, responding or referring as appropriate.
  • Organize and manage travel arrangements, including flights, accommodations, and itineraries.
  • Handle CEO's office communications, draft emails, and create presentations as required.
  • Facilitate communication and act as a point of contact between the CEO and department heads.
  • Maintain confidentiality of sensitive corporate, personal, and financial information at all times.
  • Assist in preparation of reports, presentations, and corporate communications as instructed by the CEO.
  • Coordinate and assist in the planning of company-wide events and special occasions.
  • Conduct research and provide analysis to support the CEO’s strategic planning initiatives.
  • Assist in the documentation and circulation of executive meeting minutes and action points.
  • Monitor and manage various special projects as assigned, ensuring they align with company goals.

Requirements

  • Bachelor’s degree in Business Administration, Communications, or a related field preferred.
  • Minimum of 5 years experience as an executive assistant or similar role in a corporate setting.
  • Exceptional written and verbal communication skills required for effective correspondence.
  • Outstanding organizational skills and the ability to multitask effectively under pressure.
  • Proficiency in MS Office Suite and familiarity with scheduling and meeting management tools.
  • Demonstrated ability to work well with senior executives and other high-level team members.
  • Exemplary discretion and confidentiality in handling sensitive operational and personal information.
