Job Description

The Medical Records Assistant plays a critical role in ensuring the accuracy, accessibility, and confidentiality of patient health records within a medical or healthcare facility. This position requires meticulous attention to detail, strong organizational skills, and the ability to manage a vast amount of sensitive information. As a liaison between healthcare providers and patients, the Medical Records Assistant must ensure that records are correctly maintained, updated, and available when needed to support patient care and treatment. This role is crucial for maintaining the integrity of patient data and ensuring compliance with healthcare regulations and privacy laws. The Medical Records Assistant often interfaces with various departments, requiring excellent communication skills and the ability to adapt to technological changes in health information management systems.


Responsibilities

  • Organize and maintain patient records ensuring accuracy and confidentiality at all times.
  • Update and ensure the proper documentation of patient records in electronic systems.
  • Retrieve and process medical records requests in a timely manner for healthcare providers.
  • Ensure compliance with state and federal regulations regarding patient privacy and data security.
  • Assist healthcare staff in locating specific records and extracting necessary patient information.
  • Monitor and manage the release of information requests and procedures for integrity.
  • Verify and update patient information within records for accuracy and completeness.
  • Assist in digital scanning and filing of paper documents into electronic records systems.
  • Collaborate with healthcare professionals to ensure seamless operations and record accessibility.
  • Train and assist other administrative staff in medical record procedures and use of systems.
  • Perform regular audits of records to identify and correct discrepancies or data errors.
  • Respond efficiently to internal and external record inquiries from authorized personnel.

Requirements

  • A high school diploma or equivalent; additional qualification in health records preferred.
  • Experience in a healthcare setting or in managing medical records is advantageous.
  • Proficiency in electronic health records (EHR) systems and medical terminology required.
  • Strong attention to detail and ability to handle sensitive and confidential information.
  • Excellent organizational and multitasking skills to manage diverse sets of records.
  • Good communication skills for interacting with healthcare staff and patients.
  • Basic understanding of healthcare laws, policies, and regulations about patient records.
