Job Description

As a crucial aspect of our front office operations, the Receptionist plays a vital role in ensuring the smooth running of our day-to-day business. The successful candidate will serve as the first point of contact for clients, visitors, and employees, providing exceptional customer service and professional support. The Receptionist is responsible for creating a welcoming environment and effectively managing inquiries, appointments, and communications. This role requires excellent organizational skills and the ability to multitask in a fast-paced environment. We are looking for someone with a proactive approach, a positive attitude, and excellent communication skills to represent our company values and contribute to a pleasant atmosphere for all visitors and staff.


Responsibilities

  • Greet all guests and visitors warmly with appropriate courtesy and hospitality.
  • Answer, screen, and direct incoming calls promptly and professionally.
  • Manage appointments and schedules for meeting rooms and personnel efficiently.
  • Maintain a neat and tidy reception area and administrative support as needed.
  • Process incoming and outgoing mail and coordinate deliveries effectively.
  • Provide accurate information about the company to callers and visitors.
  • Assist in booking and coordinating logistics for internal meetings and events.
  • Support administrative tasks including data entry and document management.
  • Order and manage inventory of office supplies in coordination with other staff.
  • Ensure security by following procedures and controlling access via the reception desk.
  • Compile and distribute memos, reports, and other information as required.
  • Pool resources with team members to foster a collaborative work environment.

Requirements

  • High school diploma or equivalent educational qualification is mandatory.
  • Previous experience as a receptionist or in a similar customer service role.
  • Proficiency in Microsoft Office Suite and familiarity with office equipment.
  • Excellent verbal and written communication skills and professional demeanor.
  • Strong multitasking abilities with attention to detail in a dynamic environment.
  • Exceptional organizational skills and ability to complete responsibilities on time.
  • Comfortable dealing with high-pressure and fast-paced work situations professionally.
