An Office Assistant plays a critical role in ensuring the smooth operation of an office setting, providing administrative support to staff and management. This position requires an individual who is organized, detail-oriented, and capable of handling multiple tasks efficiently. As an Office Assistant, you will be responsible for various clerical duties such as filing, scheduling, and communication management, contributing to the overall functionality and productivity of the office. The ideal candidate will possess strong communication skills, proficiency in office software, and a proactive approach to problem-solving. Working closely with different departments, the Office Assistant is central to maintaining a professional and welcoming office environment for both visitors and staff.


Responsibilities

  • Maintain accurate and organized office files and records daily.
  • Assist in scheduling meetings, appointments, and conference calls efficiently.
  • Manage incoming and outgoing correspondence, including emails and phone calls.
  • Support administrative staff with document preparation and reports drafting.
  • Ensure office supplies are stocked and ordered as needed without delay.
  • Welcome and direct office visitors with professionalism and courtesy.
  • Assist in the preparation and distribution of incoming and outgoing mail.
  • Coordinate office activities and operations to secure efficiency in procedures.
  • Handle filing and data entry tasks to maintain an organized information system.
  • Provide support for office projects and coordinate logistics when required.
  • Assist in organizing and managing events, trainings, and meetings in-house.
  • Perform any other clerical duties and administrative tasks as required by staff.

Requirements

  • High school diploma or equivalent qualification is mandatory for this role.
  • Proven experience as an Office Assistant or in a related position.
  • Strong knowledge of MS Office and basic accounting principles required.
  • Exceptional communication and interpersonal skills are highly crucial.
  • Ability to work independently and prioritize tasks with attention to detail.
  • Familiarity with office equipment, including printers and fax machines.
  • Strong organizational and time-management skills are a must.
