Job Description

An Administration Executive plays a crucial role in the management and organization of the office environment, ensuring its efficient operation. This position requires a professional who can manage a variety of administrative tasks, coordinate between different departments, and support senior management. An Administration Executive is expected to be the backbone of daily operations by maintaining office supplies, handling communications, and implementing procedures for improving organizational effectiveness. Responsibilities

  • Coordinate and oversee daily office operations to ensure efficiency and effectiveness.
  • Organize and manage office documentation, correspondence, and communication efficiently.
  • Assist in planning and executing company events and meetings with precision.
  • Develop, implement, and review office administrative systems and procedures.
  • Maintain office supplies inventory by checking stock and placing orders as needed.
  • Handle inquiries, prepare reports, and maintain filing systems in an organized manner.
  • Liaise with other departments to ensure smooth flow of communication and operations.
  • Support senior management by preparing agendas, scheduling meetings, and booking travel arrangements.
  • Manage office budgets and financial transactions to ensure accuracy and accountability.
  • Provide administrative support in HR-related tasks including recruitment and onboarding processes.
  • Ensure the office environment remains organized, clean, and conducive for productivity.
  • Implement measures of process improvement to enhance administrative efficiency.

Requirements

  • Bachelor's degree in Business Administration or a related field preferred.
  • Proven experience of at least two years in a similar administrative role.
  • Exceptional organizational skills and attention to detail are a must.
  • Proficiency with Microsoft Office Suite and office management software tools.
  • Strong communication, both verbal and written, and interpersonal skills.
  • Ability to multitask and prioritize tasks in a fast-paced environment.
  • Self-motivated with a proactive approach to tackling challenges and problems.
