Job Description

As an Event Hospitality Coordinator, you will play a critical role in bringing events to life by ensuring a seamless experience for guests. You will work closely with the event planning team to coordinate all hospitality aspects of events, including accommodations, catering, transportation, and other guest services. This role requires a high level of attention to detail, exceptional organizational skills, and the ability to manage multiple tasks simultaneously. You will be the go-to person for guests' needs and comfort, ensuring their experience is extraordinary. Effective communication and problem-solving abilities are essential, as well as a proactive approach to anticipating guests' requirements.


Responsibilities

  • Oversee and manage all hospitality arrangements for event guests and participants.
  • Coordinate with event planners to ensure guest services align with overall event objectives.
  • Communicate with vendors and service providers to secure necessary accommodations and services.
  • Manage guest list confirmations and ensure accurate reservations and accommodations.
  • Develop and execute hospitality plans in coordination with the event management team.
  • Anticipate and respond to any guest needs, queries, or concerns with a proactive attitude.
  • Ensure guest satisfaction by providing high-quality and personalized hospitality services.
  • Collaborate with catering teams to finalize menu selections and dietary requirements.
  • Organize transportation logistics for guest arrivals, departures, and VIP transfers.
  • Maintain detailed records and reports on guest interactions and feedback.
  • Provide on-site support during events to address any hospitality-related matters.
  • Assess feedback post-event to enhance and improve future hospitality services.

Requirements

  • Bachelor’s degree in Hospitality Management, Event Planning, or a related field.
  • Proven experience in hospitality coordination within the event or similar industries.
  • Excellent organizational skills and the ability to manage multiple priorities.
  • Strong communication and interpersonal skills for interacting with diverse guests.
  • Proficiency in using hospitality management and event planning software.
  • Ability to work flexible hours, including weekends and evenings, as events dictate.
  • Demonstrated problem-solving skills and a proactive, guest-focused approach.
