Job Description

The Front Desk Executive plays a crucial role in creating an excellent first impression for visitors and maintaining the smooth operations of the front office area. This position involves welcoming guests, answering inquiries, and managing the flow of people through the business. As the initial contact point for clients and visitors, the Front Desk Executive must demonstrate a high level of professionalism and have excellent communication skills. This role also includes administrative responsibilities that require organizational skills and attention to detail. A successful candidate will be resourceful, proactive, able to manage competing priorities, and work well in a dynamic environment. The Front Desk Executive is often seen as the face of the company, thus making it a vital cog in maintaining a positive company image.


Responsibilities

  • Greet and welcome guests as they arrive at the office.
  • Answer, screen, and forward incoming phone calls professionally.
  • Manage and coordinate front desk daily operations efficiently.
  • Maintain office security by following safety procedures and controlling access.
  • Assist in scheduling meetings, bookings, and appointments for managers.
  • Ensure reception area is tidy and presentable at all times.
  • Receive, sort, and distribute daily mail and deliveries to the appropriate departments.
  • Provide basic and accurate information in-person and via phone/email.
  • Update calendars and schedule meetings as necessary for senior staff.
  • Keep updated records of office expenses and costs for budget management.
  • Coordinate with facility management vendors, including catering and cleaning services.
  • Support other administrative tasks as needed by the management team.

Requirements

  • Proven experience as a front desk representative or relevant position.
  • Proficient in Microsoft Office Suite and basic computer skills.
  • Strong communication and customer service orientation skills.
  • Professional appearance and demeanor is a must.
  • Ability to handle stressful situations with calmness and professionalism.
  • Excellent organizational and multitasking abilities for multiple tasks.
  • High school diploma; additional certification in Office Management is a plus.
