Job Description

The Dispatch Executive / Billing role is a dynamic position designed for individuals who thrive in managing logistics operations and customer billing. This role requires a meticulous eye for detail and the capacity to ensure efficient and smooth dispatch operations combined with accurate billing processes. As a Dispatch Executive, you will coordinate with multiple departments to ensure that deliveries are scheduled in a timely manner, meeting customer expectations consistently. You will also oversee the billing operations, ensuring that invoices are accurate and sent out on time, contributing significantly to the company's cash flow and client relationships. In this role, you play a key role in maintaining operational excellence and customer satisfaction. The ideal candidate should be able to balance operational demands with customer service and be proactive in identifying potential bottlenecks in dispatch and billing activities.


Responsibilities

  • Coordinate daily dispatch activities to ensure timely delivery of goods and services.
  • Monitor and track shipment movements, updating customers and internal systems accordingly.
  • Collaborate with warehouse and logistics teams to plan efficient delivery routes.
  • Ensure that all dispatch-related documentation is completed accurately and promptly.
  • Conduct regular audits of dispatch operations to maintain quality and efficiency standards.
  • Manage customer inquiries regarding dispatch and billing, providing prompt and accurate responses.
  • Generate and issue invoices to customers ensuring compliance with company policies.
  • Reconcile billing accounts to resolve any discrepancies or errors in invoices.
  • Liaise with the finance department to ensure the company’s accounts receive accurate payments.
  • Implement improvements to dispatch processes and billing systems for greater efficiency.
  • Prepare reports on dispatch and billing operations for management review.
  • Train new staff members on procedures related to dispatch and billing operations.

Requirements

  • Bachelor’s degree in logistics, business administration, or a related field preferred.
  • Proven experience in dispatch operations and billing within a similar industry.
  • Strong organizational skills with the ability to multi-task effectively under pressure.
  • Excellent communication skills, both verbal and written, for customer interaction.
  • Proficiency in using dispatch and billing software applications and Microsoft Office Suite.
  • Attention to detail is essential for managing accurate billing and dispatch records.
  • Ability to analyze operational data and suggest improvements to existing processes.
