Job Description

As an Executive Assistant, you will serve as a key partner to high-level executives within the organization, ensuring their time is optimized and strategic initiatives are supported effectively. This role is not just about managing schedules and travel arrangements; it's about playing a pivotal role in the facilitation of executive goals and business strategies. The ideal candidate will have excellent communication, problem-solving, and project management skills to coordinate effectively with various departments and external stakeholders. You must be proactive, meticulously organized, and capable of handling sensitive information confidentially. Your ability to anticipate needs, take initiative, and adapt swiftly to changing priorities is paramount to your success in this role.


Responsibilities

  • Manage and maintain executive schedules, including meetings, appointments, and travel arrangements.
  • Coordinate and prepare materials for presentations, meetings, and conferences for executives.
  • Screen and prioritize incoming communications, ensuring executives are informed and timely in responses.
  • Conduct research and gather data pertinent to the organization's strategic initiatives and projects.
  • Act as the primary point of contact between executives and internal/external stakeholders.
  • Oversee the handling and resolution of issues involving internal systems and procedures.
  • Organize and manage confidential files, documents, and correspondence efficiently and securely.
  • Assist executives in creating compelling presentations and documents for internal and external audiences.
  • Collaborate with other administrative staff to enhance the office workflow and procedure efficiency.
  • Plan, coordinate, and execute special events, meetings, and off-site activities, as required.
  • Assume additional responsibilities and projects as directed to contribute to organizational goals.
  • Facilitate effective communication and coordination among various departments for project success.

Requirements

  • Bachelor's degree in Business Administration or related field, preferred but not mandatory.
  • Minimum of 3 years of experience in a similar executive support role required.
  • Demonstrated ability to manage deadlines and work under pressure efficiently.
  • Excellent verbal and written communication skills to interact with all stakeholders.
  • Exceptional organizational and time-management skills are essential for success.
  • Proficiency in office software applications, including MS Office Suite (Word, Excel, PowerPoint).
  • Strong problem-solving skills with a proactive and positive approach towards challenges.
  • Ability to maintain confidentiality and manage sensitive information with discretion.
  • Flexibility to adapt to changing situations and assist executives in dynamic environments.
