Responsibilities

  • Develop and implement document management systems to streamline information access.
  • Coordinate with departments to digitize and organize physical and digital documents.
  • Ensure that all documents are properly indexed and easily retrievable.
  • Maintain and update document management protocols in accordance with company policies.
  • Conduct regular audits of document management systems to ensure compliance.
  • Train staff on document management practices and system usage.
  • Create and maintain a comprehensive and secure digital document repository.
  • Collaborate with IT on document management software enhancements and troubleshooting.
  • Monitor document lifecycle and ensure timely archiving and disposal of records.
  • Support legal and compliance teams with document retrieval for audits or investigations.
  • Provide guidance on regulatory requirements impacting document management practices.
  • Identify opportunities to improve document processes for greater efficiency.


Requirements

  • Bachelor’s degree in Information Management, Business Administration, or related field.
  • Proven experience with document management systems and best practices.
  • Strong organizational skills and keen attention to detail are required.
  • Excellent verbal and written communication skills for training and documentation.
  • Proficiency in document management software and Microsoft Office Suite is essential.
  • Familiarity with legal and compliance requirements for document retention is necessary.
  • Ability to work collaboratively across departments and manage multiple priorities.
