Job Description

The Shipping Administrator is an integral part of the logistics and supply chain team, responsible for facilitating and organizing the shipping processes within a company or organization. The role requires meticulous attention to detail, excellent organizational skills, and the ability to communicate effectively with various departments, suppliers, and customers. This position ensures that all shipping documentation is accurate and complies with international and local regulations. The Shipping Administrator plays a critical role in maintaining the smooth operation of inbound and outbound shipments and contributes significantly to the organization's efficiency. Responsibilities

  • Coordinate and schedule all inbound and outbound shipments effectively and on time.
  • Prepare and verify all necessary shipping documents, including packing lists, bills of lading, and invoices.
  • Communicate with suppliers and customers to ensure timely delivery of goods.
  • Track and trace shipments to provide status updates to relevant stakeholders.
  • Work closely with warehouse staff to ensure efficient loading and unloading of shipments.
  • Resolve any shipment issues or discrepancies in a timely and efficient manner.
  • Ensure compliance with national and international shipping regulations and company policies.
  • Maintain accurate records of all shipping activities for auditing and reporting purposes.
  • Collaborate with the procurement team to optimize logistics costs and shipping methods.
  • Provide exceptional customer service to address shipping-related inquiries and concerns.
  • Assist in the development and implementation of shipping-related processes and procedures.
  • Support the logistics team in continuous improvement initiatives to enhance operational efficiency.

Requirements

  • High school diploma or equivalent; an associate's or bachelor's degree is preferred.
  • Previous experience in shipping, logistics, or supply chain management is required.
  • Strong organizational skills with a keen eye for detail and accuracy.
  • Excellent communication skills, both written and verbal, are necessary.
  • Proficiency in using shipping software and Microsoft Office Suite, especially Excel.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Problem-solving skills with the ability to handle shipping discrepancies effectively.
  • Familiarity with international shipping regulations and customs documentation is an asset.
  • Strong time management skills with the ability to prioritize tasks efficiently.
