Job Description

The Service Admin Coordinator plays a crucial role in ensuring the seamless operation of administrative tasks within the service department of our organization. This role is pivotal in maintaining effective communication between service personnel and clients, managing service schedules, and supporting customer service activities. The ideal candidate will be detail-oriented, organized, and capable of handling multiple tasks simultaneously in a fast-paced environment. As a Service Admin Coordinator, you will act as the liaison between customers and the service team, striving to deliver exceptional customer service by addressing inquiries, scheduling service appointments, and ensuring that all administrative functions are executed efficiently. Your role will contribute directly to the customer satisfaction levels and overall operational success of the service department.


Responsibilities

  • Coordinate and schedule service appointments, ensuring optimal resource utilization.
  • Act as the primary point of contact for service-related customer inquiries.
  • Maintain and update service records and client databases accurately and promptly.
  • Assist in preparing service reports and documentation for management review.
  • Communicate effectively with service technicians to ensure job completion.
  • Resolve customer complaints by working closely with the service team.
  • Manage inventory and ensure the availability of necessary service materials.
  • Track service orders and monitor completion timelines for efficient operation.
  • Develop and implement new administrative systems to improve service operations.
  • Support the service department in planning and executing projects on time.
  • Facilitate training and orientation for new service administrative staff.
  • Ensure compliance with company policies and industry standards within the department.

Requirements

  • Bachelor’s degree in Business Administration or a related field preferred.
  • Proven experience in an administrative role within the service industry.
  • Strong organizational and multitasking abilities in a fast-paced environment.
  • Excellent customer service skills with an emphasis on effective communication.
  • Proficiency in MS Office Suite and service-related software applications.
  • Detail-oriented mindset with the ability to handle confidential information.
  • Ability to problem-solve and adapt to changing service department needs.
