Job Description

As a Receptionist cum Customer Service Agent, you will be the first point of contact for our clients, visitors, and customers, playing a crucial role in establishing a positive impression of our organization. Your primary responsibility is to ensure a seamless and courteous experience for everyone who interacts with our company, whether in person or via phone. This dual role combines the duties of a traditional receptionist with those of a customer service professional, requiring a proactive, organized, and efficient individual. You will be responsible for managing front desk operations, addressing customer inquiries, and providing information about our products and services. Your excellent communication skills, friendly demeanor, and ability to handle various tasks simultaneously will contribute significantly to the smooth running of our company operations.


Responsibilities

  • Greet customers and visitors warmly and direct them to appropriate destinations.
  • Handle incoming calls efficiently, transferring and logging messages accurately.
  • Maintain a clean and organized reception area, ensuring all materials are current.
  • Respond promptly to customer inquiries and resolve issues with professionalism.
  • Provide detailed information about company products and services when requested.
  • Assist customers with product selection and answer any related questions.
  • Schedule appointments and manage the calendar for meetings and events.
  • Record and process customer complaints, ensuring follow-up in a timely manner.
  • Coordinate with other departments to resolve customer service issues effectively.
  • Manage mail distribution, courier services, and other front office duties.
  • Continuously seek to improve customer service satisfaction and client retention.
  • Prepare and maintain accurate records of customer interactions and transactions.

Requirements

  • High school diploma or equivalent; additional customer service certificates are a plus.
  • Proven experience as a receptionist, customer service agent, or similar role.
  • Excellent verbal and written communication skills are essential for this role.
  • Proficient in MS Office, telephone systems, and other relevant software tools.
  • Strong organizational skills and the ability to multitask effectively.
  • Positive attitude with a commitment to providing exceptional customer service.
  • Ability to handle stressful situations calmly and manage time efficiently.
