Job Description

As a Receptionist, you will be the first point of contact for our organization, offering a warm and professional welcome to all visitors and clients. Your primary responsibility will be to manage the front desk and perform a variety of administrative tasks that contribute to the smooth operation of our office. You will handle incoming calls, assist with queries, and manage schedules, always ensuring that the reception area is presentable and run efficiently. This role requires a personable and organized individual with excellent communication skills, capable of multitasking in a dynamic environment. Your attention to detail and ability to manage diverse tasks simultaneously will be critical to your success in this role.


Responsibilities

  • Greet and welcome guests and clients as they arrive at the office.
  • Answer and direct incoming calls to appropriate personnel or departments.
  • Maintain the reception area, keeping it tidy and presentable at all times.
  • Manage visitor logs and ensure all visitors sign in upon arrival.
  • Provide basic and accurate information in-person and via phone/email.
  • Schedule and confirm appointments and meetings for staff and management.
  • Handle and forward incoming mail and deliveries to respective departments.
  • Prepare and manage correspondence, reports, and documents as required.
  • Assist with administrative tasks, including ordering office supplies and inventory.
  • Ensure security by following procedures, monitoring logbooks, and issuing visitor badges.
  • Coordinate with security and cleaning staff to maintain office standards.
  • Provide excellent customer service to improve client satisfaction and relationships.

Requirements

  • Proven experience as a receptionist or in a similar customer service role.
  • Proficiency in Microsoft Office Suite and general computer literacy.
  • Strong interpersonal and communication skills, both written and verbal.
  • Excellent organizational skills with the ability to multitask effectively.
  • High school diploma or equivalent; additional qualifications are a plus.
  • Ability to handle sensitive information with a high degree of confidentiality.
  • Professional attitude and appearance with a friendly and approachable demeanor.
