Job Description

The role of a receptionist is crucial as the first point of contact for clients, visitors, and employees. This position requires a person who is welcoming, organized, and efficient. A receptionist is responsible for managing the front desk operations, which include greeting guests, handling inquiries, and overseeing the daily functions to ensure smooth operations. A professional demeanor and excellent communication skills are necessary to succeed in this role. The ideal candidate will possess strong interpersonal skills, an eye for detail, and the ability to multitask in a fast-paced environment. Responsibilities

  • Greet and welcome visitors and clients in a friendly manner.
  • Answer, screen, and forward incoming phone calls professionally.
  • Maintain the reception area in a neat and orderly manner.
  • Provide basic and accurate information in-person and via phone/email.
  • Handle inquiries and provide clear and concise information as needed.
  • Receive and sort daily mail, deliveries, and couriers promptly.
  • Coordinate with internal staff for meetings and appointments scheduling.
  • Assist in administrative tasks such as data entry and filing documents.
  • Monitor and maintain office supplies and place orders when necessary.
  • Maintain confidentiality of sensitive information and documents securely.
  • Support the executive team with various administrative tasks as needed.
  • Enforce office policies and discuss any changes with management.

Requirements

  • Proven work experience as a receptionist or similar role is required.
  • Proficiency in Microsoft Office Suite and office technology is essential.
  • Excellent communication skills, both written and verbal, are necessary.
  • Strong organizational skills with the ability to multitask effectively.
  • Customer service attitude with both patience and professionalism.
  • High school diploma or equivalent; higher education is a plus.
  • Ability to handle stress and remain calm under pressure situations.
