Job Description

A Patient Admin Executive plays a critical role in ensuring the smooth operation of healthcare facilities by managing administrative duties. This position requires a person who is both highly organized and compassionate, as they serve as a liaison between patients, medical staff, and administration. Duties may include scheduling appointments, maintaining patient records, handling billing procedures, and ensuring compliance with healthcare regulations. A successful candidate must possess exceptional communication skills to effectively interact with patients and healthcare professionals. This position often requires multitasking in a fast-paced environment, demanding sharp attention to detail and a commitment to providing excellent service to improve patient satisfaction and operational efficiency.


Responsibilities

  • Coordinate patient scheduling and ensure the provision of timely appointments.
  • Maintain and update accurate patient records and personal information securely.
  • Assist in processing insurance claims and following up on outstanding claims.
  • Ensure compliance with healthcare laws, regulations, and facility policies.
  • Provide support to the medical staff by coordinating administrative tasks.
  • Prepare and distribute patient information materials and billing statements.
  • Handle patient inquiries and provide appropriate information or assistance.
  • Manage the billing process, including verifying patient insurance coverage.
  • Collaborate with healthcare providers to manage patient referrals efficiently.
  • Maintain office supplies by checking inventory and ordering items as needed.
  • Implement improvements in administrative processes to enhance service delivery.
  • Ensure all administrative activities align with organizational goals and objectives.

Requirements

  • High school diploma or GED; additional healthcare program certification preferred.
  • Minimum of 2 years administrative experience in a healthcare setting required.
  • Proficient in electronic medical records systems and healthcare software.
  • Strong communication and interpersonal skills to engage with diverse groups.
  • Detail-oriented with exceptional organizational and multitasking abilities.
  • Familiarity with HIPAA regulations and other relevant healthcare policies.
  • Ability to work independently and as part of a multidisciplinary team.
