We are seeking a detail-oriented and organized Office Administrative Assistant to join our dynamic team. Responsibilities

  • Manage and maintain the office calendar to ensure efficient schedule coordination.
  • Answer phone calls, direct inquiries, and correspond via email professionally.
  • Order and manage inventory of office supplies to ensure sufficient stock levels.
  • Prepare and distribute memos, correspondence, and other office communications.
  • Assist in organizing meetings, conferences, and company events as needed.
  • Support the preparation of financial documents such as invoices and reports.
  • Ensure the office is clean, organized, and conducive to a productive work environment.
  • Maintain a filing system that is organized and accessible to authorized personnel.
  • Greets and directs visitors, ensuring a positive first impression of the office.
  • Provide administrative support to senior management and other departments.
  • Maintain confidentiality regarding sensitive company information and documents.
  • Assist in the onboarding process for new employees to ensure a smooth transition.

Requirements

  • High school diploma or equivalent is required; an associate degree is a plus.
  • Proven experience in an administrative or office support role is preferred.
  • Proficiency in MS Office Suite, including Word, Excel, and PowerPoint.
  • Excellent written and verbal communication skills for effective correspondence.
  • Strong organizational skills and the ability to manage multiple tasks simultaneously.
  • Detail-oriented with the ability to maintain accuracy in a fast-paced environment.
  • Professional demeanor and the ability to handle confidential information discreetly.
