Job Description

A Healthcare Receptionist plays a crucial role in ensuring the smooth operation of a medical facility by managing the front desk and providing excellent customer service. This position requires a keen eye for detail, strong organizational skills, and the ability to multitask in a high-paced environment. As the first point of contact for patients, the receptionist must handle inquiries, schedule appointments, and maintain patient records with the utmost confidentiality. Exceptional communication skills and a friendly demeanor are essential as the receptionist often serves as the face of the healthcare institution. By efficiently coordinating communication between patients, medical staff, and healthcare providers, the healthcare receptionist ensures a seamless workflow and contributes to a positive patient experience.


Responsibilities

  • Greet and assist patients and visitors warmly as they enter the facility.
  • Answer incoming phone calls professionally and route them to the appropriate personnel.
  • Manage patient check-in and check-out processes, ensuring accuracy and efficiency.
  • Schedule and confirm patient appointments, balancing availability and patient needs.
  • Maintain and update electronic patient records, ensuring data accuracy and confidentiality.
  • Collect and process patient payments, verifying insurance details and copays.
  • Respond to patient inquiries and provide information concerning services and procedures.
  • Coordinate communication between patients, healthcare staff, and external providers as needed.
  • Ensure the reception area is tidy, welcoming, and stocked with appropriate pamphlets/forms.
  • Support administrative tasks such as filing, faxing, and mailing, as required by management.
  • Assist in the management of inventory by monitoring office and medical supplies.
  • Participate in team meetings and contribute suggestions for improving patient experience and workflow.

Requirements

  • High school diploma or equivalent; additional education in office administration is advantageous.
  • Previous experience in a customer service or receptionist role, preferably in healthcare.
  • Proficient in using Microsoft Office Suite and other healthcare management software.
  • Strong organizational skills with the ability to prioritize multiple tasks efficiently.
  • Excellent verbal and written communication skills to interact with diverse groups.
  • Ability to maintain professionalism and confidentiality with sensitive patient information.
  • Strong interpersonal skills and a friendly, approachable demeanor are critical.
