Job Description

The Front Desk Representative serves as the first point of contact for visitors and clients, providing exceptional customer service and ensuring a welcoming and professional environment. This role requires an individual who is organized, friendly, and detail-oriented, with the ability to efficiently handle inquiries and manage a variety of administrative tasks. The ideal candidate will be skilled in communication and possess the ability to manage multiple tasks in a fast-paced setting. As the face of the company, the Front Desk Representative plays a crucial role in creating a positive first impression and maintaining a smooth operation at the front desk.


Responsibilities

  • Greet and welcome guests in a friendly and professional manner.
  • Answer incoming calls promptly and direct them to appropriate personnel.
  • Maintain front desk security by following safety procedures and controlling access.
  • Provide basic and accurate information in person and via phone or email.
  • Manage and distribute incoming and outgoing mail and deliveries.
  • Schedule and coordinate meetings and appointments for staff members.
  • Assist with administrative tasks such as data entry and document filing.
  • Maintain office supplies inventory and place orders when necessary.
  • Ensure the reception area is tidy and presentable at all times.
  • Handle customer inquiries and complaints professionally and efficiently.
  • Support other departments with administrative tasks as needed.
  • Perform other duties related to front desk operations as assigned.

Requirements

  • High school diploma or equivalent required for this front desk role.
  • Proven work experience in a similar role is preferred.
  • Excellent verbal and written communication skills are essential.
  • Proficiency in Microsoft Office Suite, especially Word and Excel.
  • Strong organizational skills with the ability to multitask effectively.
  • Customer service orientation with a friendly and approachable demeanor.
  • Ability to maintain confidentiality and handle sensitive information discreetly.
