An Exhibition Operation Manager is a crucial role within the events and exhibition industry, responsible for overseeing the planning, coordination, and execution of exhibitions from start to finish. This position involves working closely with a variety of stakeholders, including vendors, exhibitors, and venue management, to ensure that every aspect of an exhibition runs smoothly and efficiently. The Exhibition Operation Manager must be adept at multitasking and problem-solving, ensuring that all logistical details are addressed to meet the expectations of clients and enhance the experience of attendees. This role demands strong leadership, excellent communication skills, and a keen eye for detail to maintain the highest standards of operational excellence.


Responsibilities

  • Coordinate with vendors and service providers to ensure timely delivery of exhibition necessities.
  • Oversee the setup, running, and dismantling of exhibition stands and displays.
  • Manage exhibition budgeting, ensuring cost-effective use of resources without compromising quality.
  • Negotiate contracts with venues, suppliers, and service providers for favorable terms.
  • Develop and implement operational plans to streamline exhibition processes and workflows.
  • Ensure compliance with health, safety, and legal regulations throughout the event.
  • Lead a team of support staff, delegating tasks to ensure seamless execution of all activities.
  • Resolve any operational challenges promptly, maintaining a high standard of customer service.
  • Collaborate with marketing and sales teams to optimize exhibition setup and attendee engagement.
  • Evaluate post-event success and areas for improvement to enhance future exhibitions.
  • Ensure accurate and timely communication between all parties involved in the exhibition.
  • Maintain relationships with key stakeholders to ensure ongoing collaboration and support.

Requirements

  • Bachelor's degree in Event Management, Hospitality, or a related field is preferred.
  • Proven experience in managing exhibitions or large-scale events is essential.
  • Strong project management skills with the ability to handle multiple tasks concurrently.
  • Excellent organizational and time management abilities are necessary for success.
  • Must possess strong negotiation skills and a keen eye for detail.
  • Effective communication and interpersonal skills to liaise with diverse stakeholders.
  • Ability to work under pressure and solve problems rapidly and efficiently.
  • Understanding of budget management and financial planning in event contexts.
  • Proficiency in event management software and other relevant IT tools is advantageous.
  • Willingness to travel and work flexibly, including evenings and weekends if required.
