Job Description

An Executive Secretary serves as the right hand to high-level executives within a company, ensuring that their daily operations run smoothly and efficiently. This role requires a highly organized and detail-oriented individual who can manage complex schedules, handle correspondence, and act as a liaison between the executive and others. This pivotal position demands the ability to prioritize tasks, maintain confidentiality, and communicate effectively across various levels of the organization. The Executive Secretary acts as a crucial support system, contributing to the executive's productivity and, by extension, the overall success of the company. The role not only demands administrative acumen but also the ability to adapt to the unpredictable and dynamic nature of executive tasks.


Responsibilities

  • Manage and maintain executives’ schedules, arranging appointments and meetings effectively.
  • Coordinate travel arrangements including booking flights, accommodation, and transportation.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Facilitate effective internal and external communications on behalf of the executive.
  • Provide administrative support and oversee complex strategic tasks and projects.
  • Act as a gatekeeper for the executive’s time, protecting against unnecessary interruptions.
  • Handle sensitive information with the utmost confidentiality and professionalism.
  • Compile and analyze information, preparing reports and documentation as needed.
  • Assist with executive’s personal matters to facilitate efficient working arrangements.
  • Prepare agendas and take minutes during meetings to document the proceedings.
  • Screen and prioritize incoming correspondence to determine its relevance and urgency.
  • Coordinate and provide logistical support for company events and executive gatherings.

Requirements

  • Bachelor’s degree in Business Administration or related field is preferred.
  • Minimum of 5 years of experience in an executive support role.
  • Exceptional written and verbal communication skills are essential for the role.
  • Strong proficiency in MS Office, including Word, Excel, and PowerPoint.
  • Proven ability to handle confidential information with integrity and discretion.
  • Excellent organizational and multitasking skills to manage multiple priorities efficiently.
  • Demonstrated ability to execute high-level administrative tasks independently.
