Job Description

As an Executive Assistant to the CEO, you will play a crucial role in supporting the executive team with high-level administrative tasks and ensuring the smooth operation of the CEO's office. You will manage the CEO's schedule, oversee communication, and act as a reliable point of contact between the CEO and internal and external stakeholders. The role demands exceptional organizational skills, a keen eye for detail, and the ability to handle sensitive information with utmost discretion. You will work closely with senior management to prioritize and coordinate the strategic and operational activities of the CEO, thereby contributing to the overall success of the organization. It is a dynamic position that requires adaptability and a proactive approach to problem-solving in a fast-paced corporate environment.


Responsibilities

  • Manage the CEO's calendar, scheduling meetings, and coordinating appointments efficiently.
  • Oversee the preparation of reports, presentations, and correspondence for the CEO.
  • Coordinate domestic and international travel arrangements, including itinerary and accommodations.
  • Act as a liaison between the CEO and internal/external stakeholders to streamline communication.
  • Facilitate and manage executive meeting logistics, including agendas and follow-ups.
  • Handle confidential information discreetly and ensure its protection and privacy.
  • Assist the CEO with research and information gathering for strategic decision-making.
  • Prioritize and manage multiple projects simultaneously while meeting deadlines.
  • Draft and review documents for communication on behalf of the CEO.
  • Monitor and respond to emails, ensuring that inquiries are addressed promptly.
  • Maintain and update contact lists and corporate files essential to the CEO's role.
  • Support the CEO in personal tasks that intersect with professional responsibilities.

Requirements

  • Bachelor’s degree in Business Administration or a related field preferred.
  • Minimum of 5 years of experience in an executive assistant role or similar.
  • Exceptional organizational and multitasking skills with acute attention to detail.
  • Strong communication skills, both verbal and written, are essential.
  • Proven ability to manage confidential information with discretion and professionalism.
  • Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
  • Flexibility to adapt to changing priorities and handle unexpected challenges calmly.
