Job Description

The role of a Document Controller – Site is crucial in ensuring efficient management of all documentation associated with a construction or engineering project. As a Document Controller, you will be responsible for maintaining and organizing documents to ensure compliance with company standards, as well as facilitating effective communication among project team members. The position requires a detail-oriented professional who possesses excellent organizational and time-management skills. You will work closely with engineers, project managers, and other stakeholders to ensure the integrity and accessibility of project records. This role offers the opportunity to play a vital part in the smooth execution of projects by maintaining structured documentation systems and implementing best practices in record management.


Responsibilities

  • Establish and maintain a comprehensive document control system for the site.
  • Ensure all project documents are registered, archived, and easily retrievable.
  • Coordinate with project managers and engineers to collect and compile necessary documentation.
  • Review and verify the accuracy and completeness of submitted documents.
  • Distribute documents to relevant team members and stakeholders efficiently.
  • Implement document control procedures and ensure compliance with standards.
  • Track the lifecycle of documents and update records based on project phase changes.
  • Prepare and manage document transmittals and submittals as required.
  • Serve as the contact point for all document-related inquiries and requests on site.
  • Ensure confidentiality and security of sensitive project documentation at all times.
  • Conduct regular audits to ensure documentation aligns with quality standards.
  • Assist in training team members on document control processes and software.

Requirements

  • Bachelor’s degree in business administration, information management, or a related field.
  • Proven experience as a document controller or similar role in a construction setting.
  • Proficiency with document management software and tools, such as Aconex or Procore.
  • Strong organizational skills and an ability to handle multiple tasks simultaneously.
  • Exceptional attention to detail with a focus on accuracy and compliance.
  • Excellent communication skills to facilitate effective coordination and collaboration.
  • Knowledge of industry standards and best practices in document control and management.
  • Ability to work independently and make informed decisions regarding document handling.
