About The Role

In this role, you will provide both technical and administrative support for the delivery of FM services. These services must align with best industry standards and practices, including the management of procured services of technical, civil and fabric teams, specialist projects, cost management, compliance (quality assurance and HSE), risk management, procurement, and complaint handling.

You will also be responsible for providing technical support to the Facilities Manager.

Key Responsibilities Will Include

The job holder will undertake a range of technical and administrative duties.

  • Maintain a close working relationship with the on-site FM team
  • Provide technical FM support with a specific focus on Mechanical, Electrical, Plumbing (MEP), civil, and fabric services.
  • Attend all operational review meetings with subcontractors.
  • Continuously monitor MEP defect liability for new buildings and ensure all Planned Preventive Maintenance (PPM) are completed in a timely and effective manner.
  • Inspect all CAFM-generated maintenance tasks and review returned checklist from subcontractors.
  • Conduct quality checks on a minimum of 10% of all completed PPM tasks.
  • Ensure water hygiene is effectively managed by nominated subcontractors.
  • Support the company by coordinating and assisting with condition surveys, reviewing amended drawings and O&M manuals, contributing to budget development, and assisting in the creation of an asset register.
  • Coordinate support for directly procured technical services within budget.
  • Manage the operation of a CAFM system that includes an off-site help desk.
  • Support the Facilities Manager in managing technical supplier relationships and conducting quality reviews.
  • Assist the site FM team to ensure FM services are delivered in accordance with contractual requirements and Macro’s HSE policies and guidelines.
  • Perform administrative tasks such as document control and process management to support the FM team.
  • Prepare progress reports for clients in accordance with Macro procedures.
  • Deliver toolbox talks to the MEP team to ensure safe execution of operational activities.
  • Administer and ensure understanding of the permit to work and hot permit work systems.
  • Interpret method statement, risk assessment, hazard identification, and risk mitigation strategies.
  • Collaborate with the FM team to manage items on the risk register.
  • Conduct site induction training to all new sub-contractors.
  • Ensure fire life safety systems are maintained at commissioning level standard at all times.
  • Ensure subcontractors under your supervision perform their duties safely and responsibly, in compliance with HSE procedures, contractual obligations, legislation, and local requirements.
  • Immediately report any non-conformance, unsafe acts, or unsafe conditions to line management for investigation and corrective action.
  • Report any injuries, illnesses, or serious incidents, including dangerous occurrences or significant environmental pollution, to line management without delay.
  • Notify line management of any identified or suggested improvements to the HSEMS and associated health, safety, and environmental risk controls.

About You

The ideal candidate will have:

  • A degree qualification in a technical discipline (preferably Electrical or Mechanical Engineering), or a degree in a built environment discipline with similar qualifications.
  • Experience in Facilities Management.
  • Knowledge in Health and Safety regulations and practices.
  • Excellent multi-disciplinary technical knowledge.
  • Good organisational, interpersonal, and communication skills.
  • Proven leadership abilities, with the capability to motivate and develop the team members.
  • Bilingual proficiency (e.g. Arabic, English, Hindi)
  • Possession of a valid driving license.
