Job Description

As the first point of contact for visitors and clients, the receptionist plays a crucial role in creating a welcoming and professional atmosphere. The receptionist is responsible for managing the front desk on a daily basis, executing administrative tasks with a high degree of efficiency and accuracy. This position requires excellent communication skills, a friendly demeanor, and the ability to multitask effectively. You will handle a variety of tasks including answering phone calls, managing schedules, and providing information to visitors. Your role is essential in maintaining a positive image for the organization and ensuring that all operational aspects run smoothly. This position offers the opportunity to work in a dynamic environment where quick thinking and a proactive approach are highly valued.


Responsibilities

  • Answer and direct incoming calls promptly and professionally.
  • Greet visitors and clients warmly upon arrival and offer assistance.
  • Maintain the reception area to ensure it is tidy and presentable at all times.
  • Coordinate and schedule meetings, appointments, and conference calls.
  • Receive and sort daily mail and deliveries accurately and efficiently.
  • Assist with administrative tasks such as photocopying, scanning, and filing documents.
  • Manage office supply inventory and place orders when necessary.
  • Handle inquiries and respond to requests for information promptly.
  • Provide directions and general information to visitors and staff.
  • Ensure security protocols are followed by monitoring logbooks and issuing visitor badges.
  • Support other departments with various tasks as needed to ensure smooth operations.
  • Coordinate transportation arrangements and accommodations for visitors and executives.

Requirements

  • Proven experience as a receptionist or in a customer service role.
  • Excellent verbal and written communication skills.
  • Strong organizational and multitasking abilities.
  • Proficient in Microsoft Office Suite and able to learn new software quickly.
  • High level of professionalism and strong customer service skills.
  • Ability to work independently and as part of a team.
  • High school diploma or equivalent educational qualification is required.
